As many couples approach the final weeks before their wedding day at luxurious West Virginia wedding venues, I thought providing them with a 30 day out checklist would be an ideal topic! It's easy to feel like you might forget key details. Wondering to yourself, "what am I forgetting?" That's where this final wedding checklist comes in handy! In this blog post, we’ll cover essential tasks that couples should focus on 30 days prior and 1 week prior to their wedding day.

30 Days Prior: Your Must-Do Tasks

  1. Get Your Marriage License

Well, you can't get married without this step, so it is crucial for your wedding day. It is not uncommon to forget this very important detail.

  1. Confirm Your Guest List

At least 30 days before the wedding, it's crucial to confirm your guest list. Call or text any guests who have not RSVP'd yet. This will help you finalize your seating chart and ensure that everyone is accounted for. Make sure to keep your caterer and wedding venue informed about the final guest count, especially if you are hosting the celebration at luxurious West Virginia wedding venues that help with setting up tables and chairs.

  1. Seating Arrangements

Once you know your guest count, you can create your seating chart. There are two approaches. One involves designating reserved tables for immediate family and any other guests the couple wishes to seat nearby their sweetheart table, while all other guests choose seats at unmarked tables. The other approach involves assigning each guest to a specific table. Both methods have their advantages and disadvantages, but most brides opt for assigned seating to avoid any awkward situations, particularly if there is tension between family members.

  1. Finalize Ceremony and Reception Details

Coordinate with your officiant and wedding party to plan your rehearsal. Everyone attending the rehearsal is crucial so that everyone knows what to expect on the big day. Double-check the layout, decor, and all the logistics involved. If you've hired a planner or coordinator, have a meeting with them to go over everything once more. Start organizing any wedding decor you've gathered. The more organized it is, the less hectic setting up will be!

  1. Prepare a List of Contacts

Compile a list of all important contacts for the wedding day, including vendors, family members, and friends in case of any last-minute questions or issues. Add this list of contacts to your timeline. Print the list and timeline together and distribute copies to each vendor participating in your wedding day.

  1. Prepare the Wedding Day Timeline

Create and finalize the timeline for your big day. This includes key moments like the first look or touch, wedding party photos, and the reception. Include the timeline for prior to the actual start of your wedding, that outlines all necessary timings, from hair and makeup to the start of the ceremony. Again, share this timeline with your vendors, wedding party, and family members to ensure everyone is on the same page. This schedule can help keep stress at bay for both you and your guests.

  1. Final Details and Payments for Vendors

Reach out once again to all your vendors—florists, photographers, videographers, DJ or band, coordinator, venue, etc.—to confirm arrangements and delivery times. Go over any last-minute requests or special details you wish to include. This communication ensures everyone is aligned with your vision for the day, and it gives you peace of mind knowing that everyone is on track. Pay any balances in advance to avoid worrying about payments on your wedding day.

  1. Schedule Final Dress Fitting & Break in Your Shoes

Schedule your last dress fitting for your gown. This ensures that any last-minute alterations are made and that your dress fits perfectly before the big day. Don’t forget to bring along your undergarments and shoes to ensure the perfect fit! This is an ideal time to begin breaking in your wedding shoes. Simply wear them around the house for about 15-30 minutes a day to avoid discomfort on the big day!

  1. Book Your Beauty Treatments

All of these are optional of course, but here are some common beauty treatments that should be scheduled if you plan on having them completed prior to your wedding day.

  • Lash extensions

  • Eyebrow waxing, threading, microblading, tinting, etc.

  • Manicure and pedicure

  • Spray tan or tanning

  • Facials

  • Massage

  • Hair and makeup trial

  • Teeth whitening

  • Hair coloring and trim

  1. Send Detailed Photo List to Photographer and Videographer

This list will help guarantee that all essential photos are captured on your wedding day. Be as detailed as you can. Include names and a list of everyone you want in each photo.

  1. Vital Songs List to DJ or Band

The DJ or band doesn't know what songs to play unless you tell them! Include each song you want played at each important moment. Starting from the beginning of the ceremony all the way through your last dance.

  1. Arrange Transportation

Couples often overlook transportation until the last moment. Confirm all transportation arrangements for the wedding day, including transport for the wedding party and guests if applicable. Make sure that your driver or transport service has the correct addresses and also has a copy of your timeline. The last thing you want is to be late for your own wedding because of a transportation mishap!

  1. Start Writing Your Vows and/or Letters

This might be more challenging than you anticipate, so I suggest beginning about a month in advance to allow yourself time to brainstorm.

1 Week Prior: Your Must-Do Tasks

  1. Check the Weather Forecast

As the wedding day approaches, keep an eye on the weather forecast. This is especially important if you’re planning an outdoor ceremony in Charleston, WV, or any other location prone to sudden weather changes. Have a backup plan in place, such as an indoor space or rented tents, in case of unexpected rain. Being prepared for any weather scenario will help you relax on the day of your wedding.

  1. Pack an Emergency Kit

Prepare an emergency kit that includes essential items like safety pins, a sewing kit, pain relievers, extra makeup for touch-ups, and anything else you might need for unexpected situations. Having a well-stocked emergency kit can help avert little crises and allow you to enjoy your day more.

  1. Connect with Wedding Party

Verify all wedding attire for the wedding party is purchased, fitted, and ready to go. This includes bridesmaid dresses, groomsmen suits or tuxes, and any accessories. Send reminders on times for rehearsal, rehearsal dinner and also a copy of your day of wedding schedule. At Evermore Ridge wedding venue, I always suggest sharing our venue rules with your wedding party.

  1. Have Your Ring Cleaned

A minor detail, but no one wants a crusty ring on their wedding day!

  1. Gather Details in One Bag or Box

Simplify the process for both you and your photographer by collecting all your details in one bag or box. This should include your ring box, perfume, special makeup, veil, shoes, jewelry, invitation, flowers, and vow books. I strongly recommend asking your photographer for a specific list of items they would like you to include.

  1. Organize and Pack Wedding Items

Prepare, categorize, and pack as much as possible several days ahead. This will significantly reduce stress when setting up for your wedding and on the wedding day itself.

  1. Finish Writing Your Vows and/or Letters

I suggest not delaying this any further! Get it done early in the week. As your wedding day nears, it will become increasingly difficult to find the time to finish these tasks.

  1. Gather Tips for Vendors

I recommend using simple thank you cards to enclose tips for each vendor. Label each card with the appropriate vendor's name and assign someone specific to distribute the tips the day of your wedding.

  1. Food and Drinks for Getting Ready Rooms

Make a plan for this. You don't want to spend the entire day without food or drink. It's really crucial. To fully enjoy your wedding day, you should:

  • HYDRATE (with water, your mimosa doesn't count)

  • Eat. A. Snack. (let's not pass out during your wedding ceremony)

  1. Pack for Your Wedding Night

Pack an overnight bag for your wedding night. I strongly suggest including breakfast items and coffee so you can enjoy a relaxing morning with your new spouse the day after your wedding!

  1. Plan for Honeymoon Packing

If you’re planning a honeymoon immediately after your wedding, start packing your bags and ensure you have everything in order. Consider what you will need based on your destination — don't forget any travel documents, swimwear, or special attire for romantic dinners!
